The 2026 organizing team is set. Next applications open spring 2027 — drop your email below if you want a heads-up. In the meantime, get to know how the event gets built.

What organizers do

12 squads. ~4-10 hours per week. From January to August.

An organizer is on a squad

WordCamp US organizers split into 12 squads, each focused on a specific function of the event — Programming, Sponsorship Sales, Speaker Logistics, Marketing, Web/Technology, Volunteer Coordination, Community/Contributor Day, Design, Finance, Accessibility & Wayfinding, Attendee Communications, Sponsorship Operations.

Each squad has a Squad Lead (typically 6-10 hours/week) and 1-4 Squad Members (typically 2-5 hours/week). Above the squads sits the WCUS Lead and a small Lead team.

Most squads ramp from January through summer. The intensity peaks in July and August. After the event, there's a 2-3 week wind-down period.

Where the work happens

Programming / Speaker Curation

Review submissions. Build the program. Balance tracks, formats, voices, and new vs. returning speakers.

Speaker Logistics

Once speakers are confirmed: timing, room assignments, AV, rehearsal coordination, travel support.

Sponsorship Sales

Outreach to companies. Tier conversations. Contracts. Renewals from previous WCUS sponsors.

Sponsorship Operations

Once sponsors sign on: booth logistics, branded touchpoints, on-site activation, livestream slots, deliverables.

Volunteer

Run the Call for Volunteers. Build the schedule. Pre-event training. Day-of coordination.

Community / Contributor Day

Coordinate the 25 contributor teams. Onboard newcomers. Manage the Sunday hackathon end-to-end.

Design

Event branding, social graphics, signage, slide templates, swag design, livestream graphics.

Marketing

Pre-event communications. Social presence. News posts. Pre/post-event press.

Finance

Budget oversight. Sponsor invoicing. Vendor payments. Ticket-revenue tracking. Final reconciliation.

Web / Technology

The website itself. Speaker portal. Sponsor portal. Schedule software. Volunteer scheduling tools.

Attendee Communications

Pre-event emails. Day-of logistics. Post-event recap and survey.

Accessibility & Wayfinding

Venue accessibility audit. Sign language coordination. Sensory-friendly spaces. Way-finding signage.
